1. Who we are
United Tribes University ("UTU", "we", "us") is a free online education program. This policy explains what personal information we collect, why we collect it, what we do with it, and the choices you have.
2. What we collect
- Account information — name, email, password (hashed), and account creation date.
- Course activity — which lessons you've started or completed, quiz answers, lab submissions, final exam attempts, and certificates earned.
- Newsletter & waitlist signups — email address, optional name, source of the signup, and (for the referral program) the referral code that brought you in.
- Contact-form submissions — name, email, topic, and the message text.
- Talent profile (only if you opt in) — bio, skills, city, availability, links you provide.
- Technical data — IP address, browser type, and pages visited, used for security and basic analytics.
3. How we use it
- To run your account, track your progress, and issue certificates.
- To send transactional emails (welcome, certificate, password reset) and the weekly newsletter you opted into.
- To improve the courses based on aggregate, de-identified usage patterns.
- To respond to your contact-form submissions.
- To meet our legal obligations and protect against fraud or abuse.
4. Cookies
We use a single session cookie (session_token) to keep you logged in. It's HTTP-only, secure, and tied to your account. We do not use cross-site behavioural advertising cookies.
5. Who we share with
We share personal data only with the following categories of processors, under contract:
- Email delivery — Resend, for transactional and newsletter emails.
- AI inference — model providers (OpenAI, Google, Anthropic) that power the AI Tutor; messages you send are processed but not used to retrain their models when sent via our API.
- Hosting & database — our cloud provider and managed MongoDB.
We never sell, rent, or trade your personal data for any commercial purpose.
6. Your rights
Depending on where you live, you have the right to:
- Request a copy of the personal data we hold about you.
- Correct inaccurate data.
- Delete your account and all associated data ("right to erasure").
- Withdraw consent from the newsletter or any optional data collection at any time.
- Lodge a complaint with your local data protection authority.
To exercise any of these, email privacy@unitedtribes.university. We respond within 30 days.
7. Children's privacy
UTU is intended for users aged 13 and older. We do not knowingly collect personal data from children under 13. If you believe we have, please contact us and we will delete it.
8. Data retention
We keep your account data while your account is active. If you delete your account, we erase your personal data within 30 days, except where we're legally required to retain it (e.g., financial records for enterprise partners).
9. International transfers
Our servers operate in the United States. If you access UTU from outside the US, your data will be transferred to and processed in the US under the protections of standard contractual clauses where applicable.
10. Changes
If we make a material change to this policy, we'll post it at this URL and email account holders. The "last updated" date at the top is always current.
